Sync Status and Recovery

Sync status and recovery#

Sync badges describe different conditions, not one generic failure. Open an actionable badge before retrying so you preserve the safest available copy.

Status glossary#

Swipe horizontally, or focus the table and use arrow keys, to see every column.

StatusMeaning and next step
LocalStored only on this device. Enable sync for cloud backup.
PendingQueued. Wait briefly or use the available sync action.
SyncingTransfer is active. Let it finish.
SyncedThe current cloud copy is available.
Retrying / Will retryA recoverable attempt failed and will run again.
Choose version / ConflictPreserved local and cloud copies differ; review both.
Fix sync / Reduce or splitValidation or size prevents upload; edit the item.
Update requiredUpdate Workbench before safely processing the data.
Plan limitThe local copy is safe, but no cloud slot is available.
Recover local copyThe cloud record is missing but an eligible local copy exists.

Manual sync#

Use Sync now or Retry sync in the popup when available. It requests synchronization across saved data, not just the item currently open. Repeated clicks while sync is active are blocked, and offline sync shows an error. There is no separate unrestricted Full Resync control.

The control is shown only when the current status is pending or retryable. Authentication, validation, oversize, conflict, and plan-limit conditions may require an item-specific action instead.

Sync between devices#

  1. Install Workbench and sign in to the same account on each device.
  2. Enable Cloud Sync & Intelligence separately on each device; signing in does not override a disabled switch.
  3. Keep both devices online until pending changes finish.

Prompts, conversations, sequences, tags, scratchpads, library items, and instruction profiles are local-first. Previously saved local content can remain available offline, and pending changes synchronize after you reconnect.

Resolve a conflict#

  1. Open Choose version or the conversation repair control.
  2. Review the preserved local and cloud summaries.
  3. Download recovery JSON first when offered.
  4. Choose Merge and keep both when both copies pass integrity checks, or deliberately keep one copy.

Unsafe merge is disabled when a copy is invalid.

Repair an actionable conversation#

Open Repair sync, Retry sync, or Choose version on the affected row. The control follows the actual state rather than blindly restarting every failure:

  • Conflict: Review the preserved copies and choose or merge a version.
  • Authentication: Sign in again, then retry.
  • Oversize or validation: Reduce, split, or correct the item before retrying.
  • Transient failure: Start the guarded retry and wait for the status to refresh.
  • Missing cloud record: Recover only an eligible local copy.

For prompts, sequences, scratchpads, tags, library items, and profiles, select the item's actionable badge or use its Notification Center entry. Use Manual Sync only when no specific action is offered.

Recover a missing cloud chat#

An eligible valid local conversation can be restored when its cloud record is missing. A permanently deleted or retired conversation ID cannot be restored; final deletion always wins over stale devices and edits.
